Culture Dreamer Safari & Tours (“Culture Dreamer”, “we”, “us”) is a tour operator based in Sakina, Arusha, Tanzania. We respect your privacy and only collect the information we need to plan and run your journey. This policy explains what we collect, why, who we share it with and the choices you have.

Who is responsible for your information

What we collect

When you send an enquiry through our website, by email or on WhatsApp, we collect the details you choose to give us. These usually include your name, email address, phone or WhatsApp number, country, preferred travel dates, the number and ages of travellers, your interests, budget and any message you write.

When you join our newsletter we collect your email address.

When you book a journey we also need the information required to make your arrangements, such as the full names of travellers as they appear on passports, dates of birth, passport details, flight details, dietary requirements, relevant medical or mobility needs, emergency contact details and travel insurance details. We only ask for health information when it is needed to keep you safe or to arrange suitable activities and accommodation.

When you visit our website our servers record basic technical information, such as your IP address and browser type, to keep the site secure and working. We do not use advertising or tracking cookies.

How we use your information

• To reply to your enquiry and prepare a tailor-made proposal and quote.
• To make, confirm and manage your booking with lodges, camps, airlines, park authorities and other suppliers.
• To look after you before and during your journey, including contacting you or your emergency contact if needed.
• To take payments and keep accounting and tax records.
• To send our newsletter, if you have asked for it. Every newsletter includes a link to unsubscribe.
• To keep our website secure and prevent spam and misuse.

We do not sell your personal information, and we do not use it for automated decision-making.

Our reasons for using it

We use your information because it is needed to respond to your request or perform our contract with you, because we have a legitimate interest in running and improving our business, because the law requires it (for example tax records or permit applications), or because you have given your consent (for example to receive our newsletter). Where we rely on consent, you can withdraw it at any time.

Who we share it with

We share only what each party needs to provide your journey:

• Lodges, camps and hotels where you will stay.
• Airlines and charter operators for your flights.
• Tanzania National Parks, the Ngorongoro Conservation Area Authority, the Zanzibar authorities and Kenyan park and conservancy authorities, for permits and entry fees.
• Trusted local partners who help deliver parts of your journey, such as our ground team in Kenya and Zanzibar, and the communities you visit (first names and group size only).
• Service providers who help us run our business, such as our website host, email provider and payment providers.
• Authorities, insurers or medical providers where the law requires it or where it is needed to protect your safety.

Everyone we share information with is expected to keep it confidential and use it only to provide their service.

International transfers

We are based in Tanzania and many of our suppliers are in Tanzania, Kenya and Zanzibar, while some service providers (for example email and website hosting) may store information in other countries. When your information leaves the country where you live, we take reasonable steps to make sure it remains protected.

How long we keep it

• Enquiries that do not lead to a booking: up to two years, so we can help if you come back to us.
• Booking records: for as long as Tanzanian tax and accounting law requires.
• Newsletter subscriptions: until you unsubscribe.
• Passport and health information: deleted or anonymised once your journey and any related claims are complete, unless we must keep it by law.

Your rights

Depending on where you live, you can ask us to:

• tell you what personal information we hold about you and give you a copy;
• correct information that is wrong or incomplete;
• delete your information, where we do not need to keep it;
• stop or limit how we use it, or object to it being used;
• send your information to you or another organisation in a portable format;
• stop sending you marketing at any time.

To use any of these rights, email info@culturedreamersafaris.com. We will reply within 30 days. If you are not happy with our answer, you can complain to the Personal Data Protection Commission in Tanzania, or to the data protection authority in the country where you live.

Cookies

Our website only uses cookies that are essential for it to work, such as those that keep the site secure and remember administrator log-ins. We do not use advertising, analytics or social media tracking cookies. If this changes, we will update this policy and ask for your consent first.

Keeping your information safe

We use secure, encrypted connections on our website, limit access to the people who need it, and choose suppliers who protect information properly. No system is completely secure, so please never send full card details by email or WhatsApp. We will tell you how to pay safely when you book.

Children

We collect information about children only from their parents or guardians, and only when it is needed to arrange a family journey.
